We are Hiring: Administration Manager

Soom Foods is the trusted brand of tahini and tahini products for celebrated chefs and home cooks (www.soomfoods.com). Our mission is to deliver delicious, nutritious, and versatile food products that our customers love and want to share with others. Our Company currently sells three products: tahini, chocolate sweet tahini and silan (date syrup) to customers throughout the United States and Canada.

As the Soom Foods Administration Manager you will be a “jack-of-all trades” responsible for overseeing, managing, and improving-upon many internal functions of Soom Foods.  This is a very hands-on role, and you will be working closely with all members of the small but mighty Soom Crew! 

 

Administration Manager Responsibilities

Accounting and Bookkeeping

  • Organizing & submitting bills 
  • Depositing checks and processing customer credit cards 
  • Collecting on Accounts Receivable
  • Reviewing any A/R or A/P discrepancies 

Supply Chain and Order Fulfillment

  • Filing damage claims, audit shipping invoices, submitting re-weigh disputes
  • Maintaining proper manufacturer documentation 

Human Resources

  • Processing bi-weekly and monthly payroll 
  • Updating Employee Manual as needed
  • Enrolling employees in healthcare and 401K benefits 
  • Scheduling yearly staff meeting calendar 
  • Taking notes at staff meetings 

Insurance and Tax Matters 

  • Insurance
    • Reviewing and renewing insurance plan
    • Completing insurance audits
    • Requesting and sending Certificates of Insurance
  • Taxes
    • Coordinating filing with bookkeeper and accountant
    • Sending paperwork to appropriate parties

General Administration and Office Management 

  • Overseeing any office needs
  • Organizing physical, Dropbox and GoogleDocs filing systems
  • Inputting customer data to CRM 
  • Updating and maintaining Standard Operating Procedures
  • Renewing certifications as needed
  • Maintaining accurate information for accounts & passwords
  • Checking voicemail and customer support emails and delegating to the appropriate teammate

JOB REQUIREMENTS

  • Must live in the Greater Philadelphia region and be willing to commute to our office in North Philadelphia
  • A minimum of 2 years in corporate or office administration work preferred

You will work closely with all members of the Soom Crew and will ultimately report to our CEO.  This is a full-time position, based in Philadelphia, PA with an attractive salary.  Benefits include medical coverage, vacation and sick days, and a positive company culture.
